Privacy Policy

This policy explains what personal data DocChase collects, why, and your rights over it. We keep it short and plain. Questions? Email contact@docchase.io.

1. Who we are

DocChase provides a document-collection tool for accountants and bookkeepers. For the account data of our customers, DocChase is the data controller. For the documents your clients upload, you (our customer) are the controller and DocChase acts as your processor.

2. What we collect

Account data: your name, email, password (hashed) or Google sign-in, and billing details.

Client & request data: the client names, email addresses, and phone numbers you add so we can send reminders, plus the documents uploaded against your requests.

Usage data: basic logs needed to run, secure, and debug the service.

3. How we use it

To provide the service: create requests, host the upload portal, send email and SMS reminders, show your status dashboard, take payment, and keep the service secure. We do not sell your data or use uploaded documents for advertising.

4. Who we share it with

We use a small set of trusted providers to run DocChase, each handling only what they need: Neon (database), Cloudflare R2 (file storage), Resend (email), Twilio (SMS), Stripe (payments), and Vercel (hosting). They process data under their own agreements and on our instructions.

5. How long we keep it

We keep your data while your account is active. When you delete a request, client, or your account, we delete the associated data and uploaded files within a reasonable period, except where we must retain limited records for legal or accounting reasons.

6. Security

Documents are stored in access-controlled object storage and uploaded over encrypted connections. Upload links use long, unguessable tokens. No system is perfectly secure, but we take reasonable measures to protect your data.

7. Your rights

Depending on where you live, you may have rights to access, correct, export, or delete your personal data, and to object to certain processing. To exercise these rights, email contact@docchase.io. If your client wants their uploaded documents handled differently, please contact the accountant who requested them.
